The Role of Venue Coordinators
First, let’s look at what your Venue Coordinator will handle for you. Every Estate at New Albany couple is assigned a Venue Coordinator upon booking, who will contact them to begin the planning process and schedule the first planning meeting to take place around 5-6 months out from the wedding date.
Our Venue Coordinators, also referred to as Wedding Coordinators, work exclusively for The Estate at New Albany. Their thorough knowledge of the venue and its spaces makes them ideal for advising on layout plans, decor ideas, and coordinating the event flow and timeline within the venue. Additionally, since your catering, floral arrangements, and DJ services are all included within your Estate package, your Venue Coordinator, having worked extensively with these teams before, can answer any questions you may have about these vendors.
Lead Coordinator at The Estate, Sarah Myers, explained “With being focused on just one venue instead of planning at multiple different venues, we know everything there is to know about The Estate and have seen so many different styles of weddings and ideas! Also- with being all inclusive, we have super strong relationships with all our in-house vendors, making planning and communication so much easier! If there’s questions about catering, timeline, florals, bar, etc., we can get the answer quickly with just a text or call.”
We like to think of your Venue Coordinator as your designated helper for everything venue-related and as the point person for all details involving your in-house vendor team. Your Venue Coordinator will take care of:
- Coordinating your wedding planning meetings at The Estate, which include your Detail Meeting and Final Meeting.
- At these meetings, you will decide on package options, linen selections, room layouts, the day’s timeline, dinner and bar menu choices, plus more!
- Keeping up all correspondence with you regarding wedding details at the venue and any changes or updates you wish to make.
- Handling all venue-related and building-specific needs on the wedding day.
- Setting up any personal decor you bring from home, including wedding signage, photos, table assignments, favors, and more.
- Helping to facilitate your rehearsal at the venue and coordinating your ceremony on the wedding day.
- Addressing the needs and questions of in-house and outside vendors on the wedding day.
- Overseeing and executing the flow of the event and the evening.
Venue Coordinators extensively cover a major component of coordinating the day. Wedding Planners come into play by bringing in their significant industry expertise and knowledge to our space.

We love working with Wedding Planners, as they provide incredible services beyond our Venue Coordinators’ traditional tasks. The main difference between a Venue Coordinator and a Wedding Planner is that a Wedding Planner is hired directly by the couple or their family. This means your Wedding Planner works exclusively for you, allowing them to be involved in whatever steps of the planning process you desire.
The benefit of working with a Wedding Planner is that they provide an even more comprehensive planning process for you as a couple that goes beyond just the venue. With an all-inclusive venue like The Estate, the traditional wedding planning process looks a little different, as there are fewer vendors to source and piece together outside of the venue. However, a wedding planner can still provide extensive assistance in coordinating elements not included in your venue package.
These tasks can include:
- Helping you find and contact vendors not included in your Estate package, like photographers, videographers, and hair & makeup stylists.
- Providing input and planning the overall timeline of the wedding day.
- Assisting with choosing stationery, preparing Save the Dates, and sending out invitations.
- Arranging transportation and accommodation for your wedding parties and guests for the weekend.
- Designing and setting up wedding decor and signage.
- Coordinating offsite events on the wedding day, including getting ready areas, offsite ceremonies, and after-parties.
- Helping with personal and family needs during the planning process and on the wedding day.
- Assisting Venue Coordinators with favors, place cards, decor, and more.
- Helping with dress needs like bustling the bride’s wedding dress or assisting with outfit changes.
